What every UK invoice must include

  • A unique invoice number, in sequence
  • Your name or business name, address and contact details
  • The customer’s name (or business name) and address
  • A clear description of what you are charging for
  • The date the goods or services were supplied
  • The date of the invoice
  • The amount for each item, and the total amount owed
  • VAT details, only if you are VAT registered

If you are a sole trader, show your own name and any business name you trade under. If you run a limited company, use the full registered company name. VAT invoices are only needed when you are VAT registered.

Worth adding for courier and delivery drivers

  • The date and route or job reference for each line
  • Any agreed surcharges (fuel, waiting, weekend) as separate lines
  • Your payment terms, for example 14 days

Tips to get paid faster

  • Use the same job references the customer uses, so their accounts team can match the invoice.
  • Invoice weekly: shorter gaps mean smaller amounts to chase if something goes wrong.
  • Do not deduct your fuel or van costs on the invoice. They are expenses for your tax return, not the customer’s bill.

Business customers who pay late may owe you statutory interest of 8% above the Bank of England base rate, plus a fixed sum of £40, £70 or £100 depending on the size of the debt. This does not apply to private individuals.

Do I need a separate invoice for each delivery?

No. One invoice per week or month listing every job is normal and easier for both sides.

What if the delivery company sends me a statement instead?

Some companies run self-billing and create the invoice for you. If they do not, you send your own invoice.

Is my van an expense I can put on the invoice?

No. Van, fuel and insurance are your business expenses. You claim them on your Self Assessment, not from the customer.
