What every UK invoice must include

  • A unique invoice number, in sequence
  • Your name or business name, address and contact details
  • The customer’s name (or business name) and address
  • A clear description of what you are charging for
  • The date the goods or services were supplied
  • The date of the invoice
  • The amount for each item, and the total amount owed
  • VAT details, only if you are VAT registered

If you are a sole trader, show your own name and any business name you trade under. If you run a limited company, use the full registered company name. VAT invoices are only needed when you are VAT registered.

  • Pickup and drop-off for each journey
  • The customer’s account or booking reference
  • Your private hire or hackney carriage licence number, if the customer asks for it

Tips to get paid faster

  • Invoice account customers on a fixed day each week or month, so they know when to expect it.
  • Save your regular routes with a fixed price, so repeat journeys fill in themselves.
  • Show waiting time and extras as separate lines, not hidden in the fare.
  • Keep a copy of every invoice: it is part of the income record HMRC expects you to keep.

Business customers who pay late may owe you statutory interest of 8% above the Bank of England base rate, plus a fixed sum of £40, £70 or £100 depending on the size of the debt. This does not apply to private individuals.

Frequently asked questions

Do taxi drivers need to give invoices?

Not for every ride. Cash or card fares paid on the spot only need a receipt if the passenger asks. Account customers who pay later usually need a proper invoice for their own records.

Should I charge VAT on taxi fares?

Only if you are VAT registered. You must register once your taxable turnover goes over £90,000 in a rolling 12 months. Most self-employed drivers are below that.

Can I include waiting time on the invoice?

Yes. Show it as its own line, with the minutes and the rate, so the customer can see what they are paying for.
